Class booking in the app, the free spot goes to the next person

Group class booking software for a gym: you lay out the weekly class schedule once. Members book and cancel in the app, the waitlist fills a free spot by itself, and the no-show rule is the one you set.

Managing group classes, from the schedule to attendance

  • Class types and the weekly schedule

Colour, length, capacity, allowed groups, room and coach. A repeating weekly schedule or a one-off session; cancelling a class costs the members who booked nothing.

  • Booking and cancelling in the app

The member sees the week's schedule, books, and cancels free of charge until the cancellation window; a cancellation after it counts as late. Booking opens some days ahead, and how many is up to you. A reminder before the class reaches the member in the app.

  • The waitlist

Before the cancellation window, the first person waiting is moved in automatically and notified; inside the window, the free spot is offered to everyone waiting and the first to accept takes it.

  • No-show rules of your choosing

The cancellation window, whether a late cancellation or a no-show uses a visit on a visit plan, and a pause on class booking after a few no-shows on an unlimited plan. Zero switches a rule off.

  • Class attendance

Any check-in at the class's location, from shortly before the class starts until it ends, marks attendance: at the desk, by scanning the location's code or at the door, even outside the member's slot. The desk can correct attended and no-show on the class roster.

  • Class fill reports

Fill and attendance by class type and coach, in the monthly reports.

Something to know

A class is part of the membership

A group class is part of a membership plan that includes classes; there is no separately paid drop-in class in MoveBase. If your gym sells classes separately, say so in the demo and we will see whether a visit-based plan fits.

  • Classes can be limited to slot groups
  • A member who booked a class is admitted for that class even outside their slot
  • Two people cannot take the last spot at the same time, and a member on a visit plan cannot book more classes than they have visits left; a cap on each member's open bookings is yours to set
  • A class that clashes with the same coach's personal session or another class is not saved
  • Coaches' personal training sessions at your locations show on the dashboard as counts and times only

Common questions about classes

What if a member books a class online and does not come?

Your choice: on a visit plan one visit is used, and on an unlimited plan class booking pauses for a few days after a few no-shows within a period. You can switch both off.

Can the desk add someone to a class itself?

Yes. Adding a member to a class or to the waitlist, and removing them, is done from the console.

We cancelled a class. What happens to the members?

Every booking is released at no cost, and members who have the app are notified in it.

Does the class coach have to be on the gym's team?

The class coach is chosen from the gym's team. A coach is invited to the team with their ordinary account and has no access to the console.
