Check in with a one-time code, refuse with a reason

The member shows the check-in code in the app, the desk searches their name, or the member scans the location's code with their own phone. Every attempt is recorded, allowed or refused, and every refusal states its reason in the desk's own words.

The member's check-in code is short-lived and refreshes itself. The desk scans it and the visit is recorded at once; a visit plan uses one visit a day, however many times the member comes in.

  • The QR membership card in the member app

    A short-lived code the app refreshes before it expires, good for one entry only; a screenshot of it lets nobody in.

  • Scanning the location's code with the member's phone

    The member reads the location's code, which the desk console shows full-screen or on a display by the door, with the phone camera, and records their own entry. The code changes every day by default, so yesterday's photo or printout does not work.

  • Name search at the desk

    For a member without the app, or without their phone. A member card with no app works in full.

  • A handheld scanner or a webcam

    A handheld scanner that reads QR codes, in keyboard mode, even with the keyboard set to another language; or a webcam, in browsers that support QR reading.

  • An access terminal or a QR gate

    MoveBase is designed to record entries from ZKTeco terminals (PUSH protocol) and from a QR gate; a device that opens the door itself has its refused entries recorded in this same list with a warning. The device connections have not been tested on real hardware yet.

  • Coming in again the same day

    In one-visit-a-day mode, a second entry the same day uses no visit, and the console says so.

Refusals

The reason for every refusal, in the desk's words

When an entry is refused, the console does not guess and does not show an error code; it writes the sentence the desk says to the member. If the reason is the time slot, the member's next slot is written right there.

  • No membership, ended, not started yet, frozen or cancelled
  • No visits left, or the plan does not cover this location
  • Outside the plan's hours, or outside their group's slot, with the next slot
  • The code is invalid, expired or already used
  • Already inside

Time slots

Time slots: groups you name yourself

Groups are not predefined in MoveBase. Women, men, children, or whatever name your gym uses: you create them, and every member card carries its group. For each location you set the weekly slots: each weekday, a start and end time and the groups allowed. From then on a member is admitted only during their own group's slot, and if they arrive outside it they see their next slot.

  • A location with no slots is open to everyone
  • A member booked on a class is admitted for that class even outside their slot
  • Classes can be limited to particular groups
  • Members see their own slot week in the app

Visits

Count visits the way your gym sells them

In many gyms «12 visits» means twelve days of coming in, not twelve passes through the door. MoveBase gives each gym one choice: one visit a day across all locations (the default), or one visit per check-in. In daily mode a second entry on the same day uses nothing, and the console writes "In again today; no visit used".

Common questions about check-in

What if a member has not brought their phone?

The desk searches their name and records the entry. Every rule, from visits to time slots, applies there too.

Can a member give their check-in code to a friend?

The code is short-lived and stops working after one use. The location's code also changes every day by default.

We do not want time slots at one location. Is that possible?

Yes. Slots apply only where you have defined them. A location without slots is open to everyone.

What happens to a member who booked a class outside their own slot?

They are admitted for that class, and the console notes that they came in for a class booking.

Do we need a particular barcode scanner?

Any handheld scanner that reads QR codes (2D) and works in keyboard mode; one-dimensional laser scanners cannot read a QR code. MoveBase reads the keys by their position, so a keyboard set to another language causes no problem.

How is «12 visits» counted in MoveBase?

By default one visit a day: a second entry the same day, even at another location, uses no visit. The gym can switch to one visit per check-in. You also set how long a visit plan stays valid, in the plan itself.
