Gym console, payments and reports

Membership money, straight into the gym's own account

Fees that members pay online go straight into the gym's own gateway account, and MoveBase takes no percentage of them. Desk payments are only recorded, and no membership money passes through MoveBase. Reports are grouped by month, and every one exports to CSV. Online payment is built for Zarinpal, the gateway Iranian gyms use; tell us yours.

Payments

  • The gym's own payment gateway

    Only the owner enters the gateway merchant id; it is stored encrypted and never shown again. Membership money never passes through MoveBase's account; the gym pays only its plan, monthly or yearly, and no percentage is taken from members' payments. Zarinpal is the gateway built today.

  • Renewal in the app and joining from the public page

    The member chooses a plan and pays in the app; the new membership starts when the current one ends. If the gym switches on online joining, newcomers choose a plan on the gym's public page, pay, and their member card is created by itself.

  • Recording payments at the desk

    Cash, card reader or bank transfer, with an optional receipt number. MoveBase does not take this money; it only records it.

  • Voided, not deleted

    A wrong payment is voided and its trace stays. A refund of an online payment is recorded as a negative line.

  • Payment requests

    From the desk you send a linked member a payment request with a chosen plan; the renewal screen opens in their app.

  • The gym's share of coaches' sales

    A gym can propose a share of the sales of coaches who list their offers under the gym's name; with each coach's acceptance, that share comes out of the coach's share, not out of MoveBase's commission. After the gym's payout verification it is paid in the weekly payout to the gym's bank account.

Reports

Reports by month, every one exported to CSV

MoveBase's reports go back up to 36 months, and each one exports to CSV with one click. Months follow the Persian calendar today, the way Iranian gyms keep their books, and the week starts on Saturday; Gregorian-month reports are not built yet. Money totals are seen only by the roles the owner allows.

  • Active, new and lost members per month
  • Revenue by month, plan and payment method
  • Entries by weekday and hour, a busy-times heatmap, and member retention by joining month
  • Class fill and attendance by class type and coach
  • Length of visits, where exits are recorded by a device too

The gym's own bill

A bill that never closes the gym's doors

The MoveBase plan is paid in advance, monthly or yearly as the gym chooses; the bill is issued a few days before the period starts, and reminders follow until it is due. If payment runs late, only the management part of the console becomes read-only after the grace period: member check-in, viewing, exports, paying the bill and every member's app keep working.

  • Upgrades apply at once, with the difference on the next bill; when paying yearly, on a bill of its own
  • Downgrades from the next cycle, if your members and locations fit the plan
  • Paid online, or by a bank transfer we record; an overpayment becomes credit

Common questions about money

Are official invoices issued to members?

No. Every payment carries a receipt number, but there is no invoice document for members and no link to a tax authority's e-invoicing system.

Is the card reader connected to the software?

No. The desk records card-reader payments by hand, with the receipt number.

We do not have a Zarinpal account, or we are outside Iran.

You can start by recording payments at the desk. Online renewal and joining from the public page need a gateway account in the gym's own name, and Zarinpal is the gateway built today. Tell us which gateway you use, and we will say whether and when it can be supported.

Who sees the money totals?

The owner and administrators. A manager only if the owner switches on "Managers see money totals"; the front desk never.

Is a gym billed during the founding period?

No. If the period is open, a gym approved during it receives no bill until its free months end, and its first billing period starts the day after; from then on each period's bill, monthly or yearly, is paid from the console.

Is MoveBase accounting software for gyms?

No. MoveBase records and reports membership money, desk payments and the gym's own bill, and gives a CSV export of every report that your accountant can take into accounting software; it has no ledger, no official invoices and no tax e-invoicing.
